ULMS Analytics & Assessment Functional Committee met Wednesday, April 13, 2022 11am-noon

1. ELUNA conference session related to Analytics has been announced for May 16, 2022 (titled: Updates: DEI, Primo, and Analytics) and will be held 10am-1pm Pacific Time online and is free. More information to come from Ex Libris on registration.

   1. The only session on Analytics at the whole conference is a report from the Analytics Community of Practice on their work in the last year from 11:20am-11:50am Pacific Time.

   2. The sessions in ELUNA in May 2022 are still only Ex Libris presentations. The details for ELUNA Learns, which has been presentations from Ex Libris customers in the last two years, have not been announced yet but you can expect Analytics sessions at those.

   3. The group continues to post Analytics & Assessment-related webinars on the Analytics wiki; there have not been many since the beginning of 2022.

2. The Analytics Community of Practice had a session with Ex Libris product managers on March 15, 2022 where they presented upcoming features and changes to Analytics in: Leganto, Primo, Esploro, and Rapido; Christina will distribute notes to the group.

3. The change for Primo Analytics being one day behind to being two days behind was moved from April 10, 2022 for US sites to April 24, 2022. Ex Libris has done a good job of communicating these changes on the Ex Libris status page, in release updates, and other communication.

4. This group should be ready to work closely with the Resource Sharing Functional Committee in 2022-2023 for new reports needed for Rapido Analytics. 

5. There will be a call for new members for this group soon from the Chancellor’s Office, please recruit folks for the committee to coming years, especially if they are new to the CSUs or have never been on this committee. Nominations will be requested from library deans or you can share your interest with bdudley@calstate.edu.

6. The group could not find an available and agreeable date for a summer Analytics webinar/event for June 2022, unfortunately. As the committee will have a new make-up starting in July 2022, that group will plan something for later in the summer or Fall 2022 instead based on the results of the December 2021 survey.

7. The group worked on the top 3 Analytics issues to submit to Ex Libris in more detail from the customer satisfaction survey. Christina will be reaching out to some of the survey respondents for more details and will rewrite the issues, impact, and what a solution would look like by April 22, 2022.

Discovery

Redesigned Discovery Wiki

Hannah Lee implemented the design changes for the discovery wiki which provides a new content organization and reflects feedback from the discovery community.

Customer Satisfaction Survey

Ex Libris has reviewed the feedback from the customer satisfaction survey and would like more details on some of the discovery issues. The DFC is working on expanded descriptions and evaluating which issues are most relevant to the discovery community. A more detailed list will be be provided to Ex Libris by April 22.

Alma/Primo VE Enhancement Request Voting

The next cycle of NERS voting took place in April. The DFC advocated voting for the ORBIS cascade alliance enhancement regarding assigning multiple resources types per Primo VE records. The request has passed the first round of voting. It's unclear if a second round of Primo VE voting will take place, or if top enhancement will be added to the roadmap. 

Title-based uResover Matching

When no identifiers are available on a record, uResolver attempts to match using the title. This results in streaming media having ebooks associated with the same record. This has been reported to Ex Libris (with examples) and the DFC is awaiting feedback. 

LibKey Demo

The DFC held a special meeting on April 1 to view a demo of the LibKey product. The tool provides stable third-party quicklink & unpaywall services for Primo VE. Takeaways will be discussed at the Next DFC meeting.

Archival Material Resource Types

Cleanup is going well in the CSU. Most records have been resolved, with only a few campuses and records remaining. 

April Open Forum

The April open forum has been canceled due to the time commitment involved with the Rapido implementation. The next open forum will take place on May 20, and will provide time to discuss changes to Primo VE as a result of Rapido.

Accessibility Testing and UI/UX Evaluation

The DFC discussed strategies for evaluating Primo VE accessibility and user interface. An accessibility report circulating on Primo-L indicates several outstanding issues with Primo VE, but most are found within secondary functions of the tool. The group will continue to discuss strategies for how to evaluate Primo VE within the CSU system.

ERM

Ilda Cardenas (Unlicensed)

1. Primo enhancement issue happening today 4/7/22-

   1. What a headache

2. Exclude CDI eBooks and Rapido

   1. Lending of ebooks. 

   2. Exclude ebooks will interfere with Rapido. 

   3. Make CSU folks aware. 

   4. SLO uses the exclude ebooks, somethings are getting excluded when they aren’t. CDI issues. 

   5. More testing with the feature. 

   6. Ask SLO to share their experiences about this. 

   7. Can take down subjects on discovery.

   8. This is all happening in discovery, June. 

3. Discussion of top issues with ExLibris ERM

   1. KAP sessions will be part of this. 

   2. CZ updates are a big issue

      1.  ExL makes mistakes when announcing these changes.

      2. ExL makes announcements to ERM changes and sometimes they don’t happen.

   3. Need for better instructions, better documentation

      1. Ie Managing the NZ, the documentation is not helpful

      2. Overlap analysis has terrible documentation. 

      3. Need to go in depth 

   4. Limitations with display logic

      1. Especially on the NZ level, the announcement for this feature could have been communicated better to consortia.

   5. It’s hard to see the connection between the NZ and IZ

   6. Salesforce tickets

      1. No explanations for problems submitted to ExL

      2. We need better guidance on diagnosing issues on our end.

   7. CDI issues

      1. Misleading labels

      2. Diagnosing problems with CDI are difficult

      3. We need ability to identify the record better

      4. NO EASY ACTIVE, BAD FOR CSU

         1. Inability to switch back

         2. Avoiding responses from ExL that issues are part of “functionality”

      5. Messes up our discovery with unwanted records (SLO)

Resource Management

Brinna Pam Anan (Unlicensed)

The ULMS Resource Management Functional Committee met Tuesday, April 5, 2022 from 1-1:30 PM.

1. 19 campuses have provided their Local Fields to Pam.  The remaining campuses were sent reminders to submit them.  The Local Fields page at Confluence will be updated by the end of April 2022 to account for these remaining campuses but will still be updated at the scheduled date if no other information is received.

2. The NZ Management Group reached out to CSU Cataloging Contacts regarding their NZ Refresh and coded "a" for archival records for corrections.  The Group is waiting on a few campuses to respond but overall the cleanup for both issues has been taken care of.

3. The Inclusive Description Task Force has provided their Recommendation on handling LC's decision on the subject headings of "noncitizens" and "illegal immigration."  The RMFC has approved the IDTF's Recommendation.  Pam will submit the Recommendation to the Steering Committee for review and approval at the upcoming meeting.

4. The CSU TS Monthly Release Testing Group met on Monday, April 11, 2022 for their 2nd Quarter meeting of the year.  An update of new releases is scheduled at the TS Open Forum in June.  The Group will continue to meet quarterly despite the change in Ex Libris's release of new features schedule and will test bug fixes/resolved issues in the other months.

5. The RMFC has received the ULMS Survey issues for review to select which Top Three to address to Ex Libris.  Final thoughts on these Top Three are due to Pam by tomorrow, Friday, April 15, 2022.  Explanations will be forthcoming and turned in by Friday, April 22, 2022.

6. The RMFC landing page at Confluence has been updated to include a Task Forces and Groups section for easier navigation to those committees.  The Inclusive Description Task Force now has a Confluence page.  The CSU Cataloging Contacts has also been added to the RMFC page.  Pam will request at the next TS Open Forum for updates to the Cataloging Contacts; the RMFC will continue to oversee and maintain the Contacts page.

7. The next ULMS RMFC meeting is scheduled for Tuesday, May 3, 2022 at 1 PM.
